Commission management for education agents — every party's charge, per application.

One Commission Agreement per institution. The engine generates the institution charge, the master agency charge and the agency charge per billing period, and tracks each from Estimate to Paid.

The agreement is the rule; the engine does the arithmetic

A Commission Agreement is created per institution with a currency, start and end date, optional campus, sector and institution-partner filters, an invoicing frequency, chargeable months, billable type, days from billable date, payment term and GST settings. Agreement Items hold the rates: base type Amount (fixed per billing period) or Percentage (of the period's share of the course fee), with optional student-count and course-month tiers.

When an Application is created, the engine matches the agreement on institution, organisation, active flag, campus, sector and the commencement date; splits the course into billing periods by invoicing frequency (Full, Semester, Term, Trimester, Year); picks the first Agreement Item whose tier matches; applies the base type; and adds GST if set.

If no agreement matches, no commission records are created. If the agreement matches but has no item, nothing generates — and the Application's commission panel tells you why.

Three charges, one application

A single Application can carry up to three Commission headers, each with its own Transactions:

The master agency takes its percentage of the institution amount first; the agency company takes its percentage of the master's share — or of the institution amount directly when no master is linked. The agency company's percentage gates the whole downstream chain: zero there, and neither downstream charge is created.

Five statuses, two automatic

  • Estimate
  • Confirmed
  • Ready to Invoice
  • Ready for Payment
  • Paid

Each Transaction moves Estimate → Confirmed → Ready to Invoice → Ready for Payment → Paid. Estimate is set when the Application is created. Confirmed fires when the Application reaches its document milestone — CoE issued, CAS issued or i20 issued. Your Finance team pushes the last three forward once the Application is Enrolled.

The lifecycle is forward-only, and Re-generate only touches Estimate-status Transactions; anything Finance has moved past Estimate is preserved.

Who sees the numbers is your call

Commission figures in Course Search and on Institution Courses are each behind their own Show Commission permission, independent of the Commission module itself. Show rates to staff and not to agency counsellors, or the reverse. Agency partners who are granted visibility see the net figure; GST on the institution's commission is not shown to them.

On the Transactions list, each role sees only transactions inside its data scope — a counsellor their own students', a branch user their branch's.

Know the commission before the student applies

Course Search shows a Commission Estimate per course and campus — total, invoice count, chargeable months and billing frequency — in the course's own currency so it lines up with the fee on the card. Where the agreement earns on less than the whole course, the popover states what the figure was calculated on. No agreement or a zero result reads "No Commission Yet" rather than a misleading 0.00.

The list your Finance team works from

The Transactions list filters by status, institution, date range and Transaction Type; the column chooser adds Student Name, Agency Company Name, Commission %, Chargeable Months, Course Name, Sales Region and Counsellor Full Name among others; Export CSV honours the current filter, visible columns and your data scope. An is_exported flag marks rows sent to an external accounting system.

The platform calculates and records — it does not invoice, send money or trigger payment; those happen in your accounting system.

When are commission records created?

When the Application is created — not when it is approved or enrolled. They start in Estimate.

Why is the commission lower than the rate suggests?

Check Chargeable Months on the agreement first. Set to 12 on a 36-month course, commission is earned on one year of fees, not three.

Why is there a Institution Charge but no agency charge?

The agency company's Commission Amount % is zero or blank. It gates the entire downstream split.

Does the platform pay agents or raise invoices?

No. It calculates and records who is owed what, per application and billing period. Invoicing and payment happen in your accounting system.
